Automation

Transferring data, sending e-mails, creating documents, coordinating appointments: from now on, technology handles that routine. We connect your tools into automated workflows that run reliably in the background. That saves hours every week, cuts errors and gives your team time for the work that really matters.

01

Why automation matters for SMEs right now

A large share of office work in Swiss SMEs is transferring: data from an e-mail into the software, from the software into the spreadsheet, from the spreadsheet into the invoice. This work generates no revenue; it only costs time and produces errors. At the same time, many businesses lack the staff to do it. Anyone looking for a good administrator today knows how tight the market is. So automation is not a gimmick but an answer to a real bottleneck.

The technology for it has become affordable and accessible in recent years. What used to require expensive custom development can now be solved reliably with platforms such as n8n or Make and a few scripts. Almost every common tool now offers an interface, and AI models take over the steps that used to require people, such as reading an unstructured e-mail. That makes automation worthwhile for businesses with five or twenty employees too, not just for large corporations.

02

What automation from Fox Computers delivers

We find the tasks that keep repeating in your business and build processes for them that run automatically. That ranges from a simple data handover between two programs to multi-step processing across several systems, including checks, approvals and notifications. We connect the tools you already use. You don’t have to switch your whole system for automation to work. We get the most out of what’s there and only add where it pays off.

A workflow running quietly in the background is only valuable if it’s reliable. That’s why we pay attention to clean interfaces, well-thought-out error handling and full transparency. If a step fails, you’re notified and nothing gets left lying unnoticed. You can see what’s running at any time and step in. As your needs grow, the automation grows with them, step by step and without disrupting day-to-day business. We start with the biggest time-waster, so the benefit quickly becomes measurable.

03

Who automation pays off for most

Automation pays off for any business where someone regularly does things that follow fixed rules. That applies to a trade business with twelve employees just as much as to a fiduciary firm, a medical practice, an online retailer or an agency. Companies in the Basel region and across Switzerland that want to grow without adding staff at the same rate benefit especially, as do businesses where the admin ends up resting on the owner.

A good time is when you describe your working day and words like retype, copy, catch up or check keep coming up. Or when your team is still answering e-mails in the evening that always say the same thing. If errors occur because someone transferred data manually between two systems, it’s time too. The only important thing is that the process is reasonably clear. Where it isn’t, we start with a short process optimisation and automate afterwards.

04

Typical automations in Swiss SMEs

Quotes: an enquiry from the web form lands automatically in the CRM, a draft quote with current prices is created, and all you do is check it. Invoices: recorded services are compiled at the end of the month, generated as an invoice with a QR code and sent, with reminders following fixed rules. E-mails: incoming enquiries are recognised, sorted and prepared with a suitable reply, and supplier invoices are passed straight from the inbox to accounting. Order confirmations and shipping notifications also go out automatically as soon as the right status is set.

Appointments: bookings from the online calendar trigger a confirmation, a reminder and an entry in the team calendar. Stock: inventory from shop, till and suppliers stays in sync, and when stock falls below a threshold, the reorder goes out. Support: tickets are assigned by topic and urgency, and standard questions are answered from your knowledge base. Then there are reports that create themselves every week, and documents filed in the right place. Anything recurring that follows rules can be automated.

05

How an automation project works

We start with a conversation about your biggest time-waster. Then we look at the process in detail: which systems are involved, what data flows, what happens with exceptions? From this analysis comes a proposal with a clear scope and a quote. We usually build the first automation within a few weeks, test it with real cases and only switch it on once it runs reliably. Meanwhile your team carries on undisturbed, and the existing process remains as a fallback.

After launch, we stay on it. We monitor the first few weeks, adjust details and document the process so you understand what’s happening. You don’t need technical knowledge; we set everything up and explain it clearly. Once the first workflow is running, the next candidate usually becomes clear quickly. We then build out step by step instead of trying to do everything at once. If you wish, we take on operation and maintenance long term, so you don’t have to worry about updates and interfaces.

06

Data protection: where your data runs

Automation means data flows between systems. That’s why, for every workflow, we clarify which data is affected, where it goes and who is allowed to see it. We handle personal data of customers or employees in line with the Swiss data protection act (FADP) and, where you have customers in the EU, the GDPR. We use encrypted connections, grant only the permissions needed and log what a workflow does, so everything stays traceable. What isn’t needed isn’t transferred.

If you wish, the tools don’t run in someone else’s cloud but on a server in Switzerland or right on your premises. Platforms such as n8n can be self-hosted, and when AI models are involved, they can run locally too, so no customer data leaves the building. This is especially important for fiduciary, healthcare, legal and public administration. We recommend the option that fits your requirements and tell you honestly where cloud services are enough and where they aren’t.

07

The tools and models we use

We’re not tied to any vendor. Depending on the case, we work with platforms such as n8n or Make, with custom scripts and direct interfaces to your programs, such as accounting, CRM, shop, calendar or e-mail. Where a step needs understanding, for example reading an e-mail or classifying a document, we integrate an AI model. There, too, we choose to fit the case: a cloud model when performance and speed count, a local model when the data has to stay in-house.

It matters to us that you don’t become dependent. We build processes so that individual building blocks can be swapped out if a tool gets more expensive or a better model comes along. We document what we build, and you keep the access credentials. In most cases automation works with your existing programs, because many common tools offer interfaces. Where none exists, we find a way, for example via export, e-mail or a small bridge we program ourselves.

08

Costs, benefits and mistakes we avoid

The effort depends on how many systems are involved and how clean the process is today. You get a transparent quote per workflow up front, so you can weigh the benefit against the cost. We deliberately start small: one process that eats up a lot of time and is clearly defined. Once it’s running, it usually pays for itself within a few weeks. After that, you decide what comes next based on real experience, not on a presentation.

We know the most common mistakes and steer clear of them. A process is automated before it’s clear, and the chaos just runs faster. A workflow fails silently and nobody notices for weeks. Too much at once, so nobody can keep track any more. Or a tool is chosen because it’s trendy rather than because it fits. We rely on clear processes, error handling with notifications, manageable steps and tools that suit your business. That way automation stays a gain and doesn’t become a construction site.

Questions and answers

What does a process automation cost?

A process automation from Fox Computers costs from CHF 5,000 for one process, which is selected, mapped, connected to your tools and tested with real cases. The price depends on how many systems are involved and how many exceptions the process has. Before we start, you get a fixed-price quote. On top of that there may be running costs for platforms such as Make or for AI models billed by usage. At low volumes, that’s often just a few francs a month. Extensions are billed at CHF 160 per hour.

How long does it take until an automation is running?

At Fox Computers, a first automation is usually running reliably in everyday use after two to four weeks. During that time we clarify the process, connect the systems involved, build in error handling and test with real cases from your business. It only goes live once everything runs stably. Until then, your team works as usual and the existing process remains as a fallback. If many systems or approvals hang on the process, it can take a little longer. That will be stated in the quote beforehand.

What can be automated in an SME?

Anything that happens regularly and follows fixed rules can be automated: transferring data, sorting e-mails, creating documents, syncing systems. Typical examples from Swiss SMEs are web form enquiries that land straight in the CRM, invoices with a QR code that are created and sent automatically at the end of the month, or supplier invoices that move from the inbox into accounting. Appointment confirmations, stock syncing between shop and till, and weekly reports run by themselves too. Fox Computers always starts with the biggest time-waster in your business.

How many hours a week does an automation save?

In our experience, first automations often save 5 to 15 hours a week, depending on the process, volume and team size. What matters is how often a task comes up: a process that costs five minutes ten times a day eats up around four hours a week. A worked example: five hours saved at an internal hourly rate of CHF 80 comes to around CHF 18,400 a year over 46 working weeks. So a process automation from CHF 5,000 often pays for itself within a few months. Fox Computers quantifies the potential up front, so you know what the automation will bring you before you start.

Does Fox Computers work with n8n, Make or Zapier?

Fox Computers works mainly with n8n and Make, supplemented by custom scripts and interfaces when a platform reaches its limits. Zapier is also possible if you already use it. n8n has the advantage that it can be self-hosted, for example on your server or with a Swiss hosting provider. That keeps the data under your control, with no fees per execution. Make is well suited to fast, clear workflows in the cloud. Where a step needs to understand language, we integrate models from OpenAI, Anthropic or Mistral, or a local model.

Can an automation be connected to Bexio, Abacus or Microsoft 365?

Yes. Bexio, Abacus, Microsoft 365 and Google Workspace offer interfaces through which Fox Computers can read and write data automatically. That way, contacts from the web form land in the CRM, invoices in accounting and appointments in the Outlook or Google calendar, without anyone retyping anything. Common CRM systems, WooCommerce shops, ticketing systems and spreadsheets can be connected too. Where software has no open interface, we often find another route, for example via exports, e-mail or file storage. We clarify whether and how it works before the quote, so you don’t get any surprises.

Is my data safe with an automation?

Yes. Fox Computers plans every automation in line with the Swiss data protection act, the revFADP (Swiss Federal Act on Data Protection), and, where necessary, the GDPR. In concrete terms: encrypted connections, access with the fewest possible permissions and only the data the process really needs. Where sensitive data flows, n8n runs on your own server or with a Swiss hosting provider instead of in someone else’s cloud. For AI steps, we use API access where, according to the provider, business data is not used for training, or a local model. So you always know where your data is processed.

What happens if an automated workflow fails?

Then you’re notified immediately, because Fox Computers builds error handling into every workflow so nothing gets left lying unnoticed. If, say, a Bexio or Microsoft 365 interface briefly goes down, the workflow automatically tries again. If it still doesn’t work, the case lands with all its details in a list or as an e-mail with the person responsible. Every run is logged, so you can trace what happened when. For sensitive steps, such as sending an invoice, we build in approval by a human. That keeps control with you.

Does every automation need artificial intelligence?

No. Many processes can be automated with clear rules, without any AI, which makes them cheaper, faster and fully traceable. Moving data from A to B, creating an invoice or sending a reminder doesn’t need a language model. Fox Computers uses AI where a step has to understand language or unstructured content: classifying a freely worded customer e-mail, reading line items from a PDF or drafting a reply. We often combine both in one workflow with n8n or Make. That way we only use AI where it brings a real advantage.

Who maintains the automations after launch?

If you wish, Fox Computers takes over maintenance, monitors the workflows and adapts them when interfaces or processes change. That matters, because providers such as Bexio, Microsoft or Google change their interfaces from time to time, and your business keeps evolving too. In the first weeks after launch, we watch especially closely and fine-tune details. After that, we bill adjustments at CHF 160 per hour or agree a support arrangement set out in the quote. Every process is documented, so you understand what’s happening. You don’t need any technical knowledge for this.
