Which heating suits a 1982 house with 140 square metres and radiators?

An air-to-water heat pump with a higher flow temperature. The radiators can stay if they are large enough.

Should I calculate the ballpark quote with and without a PV system?

Yes, both.

AI-Powered Applications

We bring AI to where it actually helps you: into your own applications. Whether it’s a smart search assistant, automatic text analysis or a chatbot based on your knowledge, we develop solutions that fit your business. Practical, cleanly integrated and built for real added value rather than showing off.

01

Why AI in your own applications does more than a chat window

Most businesses use AI through a chat window today: text in, answer out, copy, paste. That helps in individual cases but changes little about the workflow. The big benefit comes where AI is built directly into the tools your team works with. When the enquiry in the inbox is already pre-sorted, when the intranet search delivers the answer instead of ten documents, when the quote is suggested based on earlier jobs.

That’s exactly what AI-powered applications do. They connect a language model with your data, your systems and your rules, so the AI doesn’t just make small talk but solves a specific task in your business. The technology is mature, and the costs have become affordable for SMEs. What makes the difference today isn’t access to AI, everyone has that, but whether it is built in cleanly in the right place and actually used every day.

02

What AI applications from Fox Computers deliver

We start with your use case, not with the hype. Together, we work out where AI creates real value in your business: searching faster, summarising content, pre-qualifying enquiries, reading documents or analysing large amounts of data. Then we develop an application that solves exactly that. Whether a search assistant built on your knowledge, a chatbot in customer service, automatic text analysis or a tool that takes the load off your back office: the yardstick is that it is actually used every day and saves measurable time.

We integrate the AI cleanly into your existing workflows and systems, such as your website, CRM, ticketing system, accounting or document storage. We ground the answers in your real content, test thoroughly and build in clear limits, so the application stays transparent and doesn’t make anything up. And we build it so the model can be swapped later. You benefit from progress without having to start over. We have been building web applications since 2010 and connecting them with AI since 2025.

03

Who benefits most from AI applications

AI applications pay off for businesses where a lot of knowledge sits in documents, e-mails and people’s heads, and questions about it are answered every day. Service providers with many client enquiries, retailers with a large range and heavy support load, fiduciaries and law firms with extensive files, associations and administrations with regulations and fact sheets, manufacturers with technical documentation. Wherever someone today searches, reads, summarises and forwards, an application can take over that work, or at least prepare it so that a human only has to decide.

A good time is when your team keeps answering the same questions, when enquiries pile up because pre-qualification takes time, or when valuable knowledge is lost with every staff change. If you run a website or a client portal and want to help visitors faster, you benefit too. We work with SMEs from the Basel region and across Switzerland. Size matters less than whether there is a clear case where AI saves measurable time.

04

Typical AI applications for Swiss SMEs

A search assistant for your internal knowledge: employees ask in their own words and get the answer with a source, instead of digging through folders. A chatbot on your website that answers questions about your services, opening hours and processes from your content and forwards qualified enquiries to you. E-mail pre-sorting that recognises requests, assesses urgency and prepares replies. A quote helper that creates a draft from the enquiry and earlier jobs, which you only need to check and adjust.

More cases: reading invoices and delivery notes and passing them to accounting. Pre-structuring job applications by criteria. Analysing client feedback from reviews, surveys and support tickets and spotting patterns. Summarising meeting minutes and deriving tasks. Capturing appointment requests from e-mails and making suggestions. Creating product descriptions for the shop from technical data. What they all have in common: the AI works with your data, delivers traceable results and fits into the workflow instead of standing beside it. A human keeps the final say.

How an AI project works with us

It starts with a conversation in which we sharpen the use case: what should the application do, for whom, with which data, and how do we measure success? Then we check the data sources and build a first prototype that you try out with real cases. That quickly shows whether the approach works before much budget is spent. A first usable version is often ready in a few weeks, not after months of concept work. This way, we spot what doesn’t work early and cheaply.

After that, we fine-tune based on real use: improving answers, adding sources, adjusting limits, refining the interface. We integrate the application into your systems, give your team a short training and document the solution. After launch, we monitor quality and costs and make adjustments when your needs change. You decide which data is used and how the application behaves, and you stay in control of the solution. If you wish, we take over operation and further development on an ongoing basis.

06

Data protection: cloud or local, case by case

For every AI application, we first clarify which data it sees and where that data is processed. We handle customer data, personnel data and trade secrets in line with the Swiss Federal Act on Data Protection (FADP) and, where you have customers in the EU, the GDPR. Where data protection is critical, we use local models that run on your own server, so nothing leaves the building. Where the data is not sensitive and maximum performance counts, we use cloud models with contractually regulated processing.

Often a combination is ideal: the application decides, depending on the type of data, which model to use. Regardless of that, we take care of access rights, so the AI only shows what the person asking is allowed to see, as well as encrypted connections and logs where they are needed. And we make sure your data is not used to train third-party models. In the end, you know exactly which data goes where, and you can trace and adjust it at any time.

07

Tools and models: we choose case by case

We are not tied to any provider. For each application, we choose the model that suits the task: a large cloud model when language quality and speed are decisive, an open local model when the data has to stay in-house, or a small, fast model for simple classifications. Then come the building blocks around it: connecting your documents and databases, search, the interface, links to your systems and automation platforms such as n8n. Cloud or local is not a matter of principle, but a decision made case by case.

What matters to us is that the application does not depend on a single model. We build it so the model can be swapped when a better or cheaper one comes along, or a provider changes its terms. You keep the access credentials and the documentation. Where it makes sense, we use proven components instead of developing everything ourselves, and where something is missing, we program it. The goal is a tool that fits your business, not one that ties you to a vendor.

08

Costs, benefits and mistakes we avoid

The effort depends on scope, data sources and depth of integration. We start with a clear use case and plan costs transparently, with a quote up front and a prototype that shows early on whether the approach is worth it. The benefit is measured in time: less searching, fewer follow-up questions, faster answers, a lighter load for your staff. We define the metrics before we start and compare afterwards, so you can see what the application really delivers. If a case does not pay off, we tell you before we build it.

We know the most common mistakes. AI gets built in because it is a hot topic, not because there is a problem to solve. The application makes up answers because it is not grounded in real content. Nobody thought about access rights, and suddenly everyone can see everything. The project grows too big, and after months there is nothing usable. We counter this with a clear use case, grounded answers with sources, proper permissions and small steps that quickly reach everyday work.

Questions and answers

How much does it cost to develop an AI application?

An AI application from Fox Computers starts from CHF 12,000, including concept, interface, model integration, testing and quality control. The price depends on how many data sources are connected, how many people use the application and whether it runs locally or in the cloud. Before we start, you get a quote with a fixed price for the agreed scope. If you want to check first whether the approach works, you can start with a prototype. For operation, there are later costs for hosting and model usage, which we estimate for you in advance.

How long does it take to develop an AI application?

At Fox Computers, an AI application takes from six weeks to the first production version, depending on scope and data sources. Early in the project there is a prototype that you try out with real cases from your daily work. That quickly shows whether the approach works before much budget is spent. Then we build out the interface, integrations and quality control and test thoroughly. Larger applications with several systems or many user roles take correspondingly longer. After launch, we fine-tune based on real use instead of planning on paper for months.

What are AI applications good for in an SME?

AI applications are useful wherever your team searches, reads, summarises or pre-sorts enquiries every day. Typical examples are a search assistant for internal knowledge that answers with a source, a chatbot on the website that answers questions from your content, e-mail pre-sorting by request and urgency, or a quote helper that creates a draft from earlier jobs. Reading invoices or analysing client feedback is part of it too. If the AI should work as a dedicated assistant in Teams, Slack, by e-mail or WhatsApp, the AI employee from Fox Computers is a better fit.

Which AI models does Fox Computers use for applications?

Depending on the task, Fox Computers uses cloud models from OpenAI, Anthropic (Claude) or Mistral, or open models such as Qwen locally via Ollama. The choice depends on quality, speed, cost and data protection. Mistral is a European provider, local models keep the data entirely in-house, and the big US models are often the strongest at complex tasks. We build every application so that the model can be swapped. If a better or cheaper model comes onto the market, you switch without redevelopment. That way your application stays independent of any single provider.

What happens if the AI makes a mistake?

For important decisions, a human has the final say: Fox Computers builds AI applications so that the AI prepares and your team checks and approves. This principle is called human in the loop. A quote, a reply to a client or a booking only goes out once someone has confirmed it. The application flags uncertain cases and forwards them to the person responsible. Every output is logged, so errors can be traced and fixed in a targeted way. You decide how much the AI may handle on its own and extend it once the quality has been right for weeks.

How does Fox Computers stop the AI from making up answers?

We ground the AI in your real content: it answers from your documents and data and cites the source. Technically, this works through an upstream search, RAG for short (retrieval-augmented generation). If the application finds no matching information, it says so instead of guessing. On top of that come clear limits on which topics it may answer at all. Before launch, Fox Computers tests with a set of typical questions and known correct answers, and repeats these tests after every model change. Errors can never be ruled out entirely, which is why human review is a fixed part of sensitive tasks.

Can an AI application be connected to a CRM, Abacus or Google Workspace?

Yes, Fox Computers connects AI applications via interfaces to CRM systems, accounting software such as Abacus or Bexio, Microsoft 365 and Google Workspace. That way, the application reads client data, documents or e-mails right where they are and writes results back, for example a draft quote into the CRM or extracted invoice items into the accounting. Websites, WooCommerce shops, ticketing systems and your own databases can be connected too. We set permissions so that the AI only accesses what it needs for its task. Whether an interface exists, we clarify before the quote.

How will my employees be trained on the AI application?

Fox Computers trains your team during rollout, briefly and hands-on, directly in the application and with cases from your business. Because we build the interface to be understandable without lengthy explanation, a short introduction is usually enough. We show what the AI can do, where its limits are and when a human needs to check. There is also written documentation for reference. If you wish, there is additional training in prompting with ChatGPT, Claude and the like, so your team can use AI safely outside the application too. We bill such training at CHF 160 per hour.

Do I stay in control of my data and the application?

Yes, you decide which data the AI application uses, who has access and how it behaves, and if you wish, everything runs on your own server. Fox Computers plans every application in line with the revFADP and, where necessary, the GDPR. With cloud models, we use API access where, according to the provider, business data is not used for training, and we check where the data is processed. For especially sensitive content, the model runs locally or with a Swiss host. The application’s rules, sources and limits are documented and can be adjusted at any time.

What does it cost to run an AI application?

Running costs consist of hosting, model usage and maintenance, and Fox Computers estimates them for your case before launch. Cloud models such as those from OpenAI or Anthropic are billed by volume. For an internal application with moderate use, this is often a single- or double-digit amount in francs per month; with many thousands of requests, correspondingly more. Local models have no fees per request, but there are costs for hardware or Swiss hosting. We bill monitoring, updates and adjustments at CHF 160 per hour or agree on fixed support. We keep an eye on costs at all times.
