01

Why local AI is now a real option

AI assistants have become part of everyday work in many businesses. Summarising texts, drafting e-mails, searching documents: all of this takes seconds today. The catch: with the well-known cloud services, the data leaves the building, often bound for the USA. For many Swiss SMEs, that’s a problem. Anyone handling client files, contracts, patient data or payroll can’t simply upload them to someone else’s system. So AI is either used secretly or not at all, and neither is a good solution.

Local AI resolves this conflict. Open language models are now good enough to handle many tasks reliably, and they run on hardware an SME can afford: a solid server in your own rack, a powerful computer in the office or a dedicated server with a Swiss host. The data stays under your control, there are no costs per request, and you don’t depend on what a big provider does with prices and terms next year.

02

What local AI from Fox Computers delivers

We set up language models that run right on your premises and connect them to your knowledge. It starts with the selection: which model suits your tasks and your hardware? We install it securely in your environment, connect documents, policies and templates and build an interface your team can use without lengthy training, be it a chat in the browser, a feature in your existing software or an interface for automations.

The result is an assistant that knows your content. It answers questions about internal documents, summarises long texts, drafts replies to client e-mails, pulls information from contracts or sorts incoming mail, without anything getting out. If you wish, we monitor operation, keep model and system up to date and adapt the solution when your requirements change. You don’t get a makeshift solution, but a tool that works reliably every day and grows with your business.

Who benefits most from local AI

Local AI is ideal for industries with sensitive data: fiduciary and accounting firms, law firms and notaries, medical practices, therapists and home care services (Spitex), recruitment agencies, public administrations and associations. Wherever professional secrecy, data protection or client trust are at stake, being able to prove that data never left the building is valuable. Businesses with trade secrets, for example in development, recipes or pricing, also benefit from an AI that no outsider can read along with. And if you have contracts with clients that require processing in Switzerland, you meet that requirement directly.

A second case is cost. Anyone who uses AI intensively, say to process hundreds of documents a day, pays per request with cloud providers. A local model costs a one-off amount for hardware and setup, after which there are hardly any running costs. And finally, local AI pays off for anyone who wants to stay independent: no lock-in, no price changes imposed from outside, no worry that a service will be discontinued. Whether in the Basel region or anywhere in Switzerland, we set up the solution where your data is.

04

Typical uses of local AI in SMEs

A fiduciary accountant asks the assistant which clauses in a lease deviate from the standard template and gets the answer without the contract leaving the building. A practice has reports summarised and letters drafted. A trades business searches twenty years of quotes and job reports for similar jobs to calculate prices faster. A trading company has supplier invoices read and the line items transferred into its accounting. A recruiter matches application files against a job profile without CVs ever touching an outside server.

In support, the assistant answers standard questions with knowledge from manuals and earlier tickets and prepares a draft for complex cases. In the inbox, it sorts e-mails by request and urgency. For management, it summarises meeting minutes and reports. New employees ask it about internal processes instead of interrupting colleagues. What all these cases have in common: the assistant works with your real documents, and everything stays within your environment. It doesn’t replace anyone, but it takes over the part of the work that consists of searching and copying.

How the setup works

First, we clarify which tasks the AI should take on and which data it needs. From that, we derive the requirements for model and hardware. A lot already runs on a solid server or a powerful computer you may already have. Where not, we recommend a suitable configuration. Then we install the system, connect your documents and test with real questions from your daily work until the answers are right. If the model runs on your server, only that server needs to be reachable, not the internet.

A first usable version is usually ready within a few weeks. After that, we fine-tune based on real use: which questions come up often, where is the assistant imprecise, which sources are missing? Your team gets a short introduction, and we document how the system is built. If you wish, we take over maintenance: installing updates, monitoring operation, bringing in new models when they are better. You get a finished solution that is seamless to use, and you don’t have to deal with the technology yourself.

06

Data protection: what local really means

For us, local means the model runs on hardware you control. Requests, documents and answers don’t leave your environment, there is no telemetry to third parties and your data is never used to train other companies’ models. This meets the requirements of the Swiss Federal Act on Data Protection (FADP) and the EU GDPR on a point that is often difficult with cloud services: you know exactly where the data is and who has access. And you can prove it to clients, auditors and authorities.

We also take care of the details that are easy to overlook. Access rights, so the AI doesn’t show everyone everything in the documents. Encryption and backups. Logs, so it stays traceable who asked what, where that is necessary. And a clear boundary on which data the AI may see at all. If your server is in your office, that’s the clearest solution. A dedicated server with a Swiss host is a good alternative if you don’t want to run your own infrastructure.

07

Models, hardware and combining with the cloud

We work with open language models that can be run freely, and choose them case by case. For summaries and questions about documents, a mid-sized model that runs smoothly on a server with one graphics card is often enough. For demanding tasks, there are larger models that need more hardware. We size things so that performance and cost add up, and build the solution so the model can be swapped when a better one comes out.

Local AI and cloud models aren’t mutually exclusive. For many tasks, a local model is good enough today. Where maximum performance is needed and the data is non-critical, for example when drafting a blog post, a cloud model can be the better choice. We combine both sensibly and agree with you which data may go where. The choice of tool and model always follows the use case, never a vendor. The same goes for the interface: chat, integration into your software or a connection to automations, depending on what your team needs.

08

What local AI costs and where it reaches its limits

The investment consists of hardware, if you don’t already have it, and our work for setup, connection and testing. After that, there are hardly any running costs: electricity, maintenance if needed, no fees per request. How large the budget is depends on your tasks and the performance required. We clarify this transparently up front in a quote. With intensive use in particular, local AI is often cheaper over time than a cloud subscription per user or per request.

We also tell you honestly where the limits are. A local model isn’t automatically as strong as the largest cloud models, and weak hardware makes it sluggish to use. If you expect the AI to know everything, you’ll be disappointed, because the AI is only as good as the documents it knows. That’s why we start with a clear use case, check up front whether local AI is suitable for it, and only then build. That way we avoid the most expensive outcome: an installation nobody uses.

Questions and answers

How much does local AI cost for my company?

Local AI from Fox Computers starts from CHF 7,500 for model selection, setup, connecting your documents and access for your team, excluding hardware. Hardware comes on top and depends heavily on the model: a workstation with a powerful graphics card is enough for many tasks, while a server for large models can quickly cost as much as a small car. We clarify beforehand what you really need and whether Swiss hosting is the cheaper option. After setup there are no fees per request, only electricity, maintenance and, where applicable, hosting.

What hardware do you need for local AI?

For many tasks, a powerful computer with a modern graphics card or a Mac with Apple Silicon and plenty of memory is enough. What matters most is the graphics card’s memory: models with 7 to 14 billion parameters run smoothly with 16 to 24 GB, while models with around 70 billion parameters need considerably more, usually server graphics cards or several cards. The number of people asking questions at the same time also plays a role. Fox Computers sizes model and hardware so that performance and cost match, and first checks whether your existing devices are sufficient.

What is the difference between local AI and ChatGPT?

With ChatGPT, your inputs go through the provider’s servers, often in the USA; with local AI, they stay on your server or with a Swiss host. That’s the core of it: client files, contracts or patient data don’t leave your environment. There are other differences too. Local AI costs a one-off amount for setup and hardware, after which there are no fees per request. You are independent of price and contract changes by big providers. On the other hand, the largest cloud models are often still stronger at very complex tasks. Fox Computers shows you which tasks run well locally.

Which AI models run locally on your own server?

Open language models such as Qwen, Mistral, Llama or Gemma run locally; Fox Computers usually deploys them on your server via Ollama. Which model fits depends on the task: summaries and e-mails in German call for different models than extracting tables or programming. We test several candidates with questions from your day-to-day work and choose the model that gives the best answers on your hardware. Because models evolve quickly, we build the solution so that switching to a newer model is possible without a rebuild.

Is local AI as good as GPT or Claude?

For many everyday tasks, yes: current open models reliably handle summarising, drafting e-mails, searching documents and extracting information. For very complex analyses, long chains of reasoning or demanding programming, the largest cloud models from OpenAI or Anthropic often still have the edge. But the gap has narrowed considerably in recent years. Before you decide, Fox Computers tests with real questions from your business, so you can judge the quality yourself. Where necessary, we combine the two: sensitive data stays with the local model, non-critical tasks go to a cloud model.

Is local AI compliant with the revFADP?

Local AI makes compliance with the revFADP and the GDPR much easier, because no personal data is transferred to external AI providers or abroad. This is especially valuable for industries bound by professional secrecy, such as fiduciary services, law firms, medical practices or recruitment. You can prove where the data is processed and who has access. Fox Computers sets up access rights, logging and storage locations properly. Other obligations remain, such as informing people in your privacy policy. We show you openly what is solved technically and what you should take care of organisationally.

Can local AI search our own documents?

Yes, Fox Computers connects the local model to your documents, policies and templates, so it answers questions from your own knowledge. Technically, this works through a search (RAG) that finds the relevant passages for each question and passes them to the model. The model answers with a source reference, so you can check every statement in the original document. Things like folders on the server, PDF manuals, quotes, reports or minutes can be connected. Access rights can be set so that each person only sees what they are otherwise allowed to see. Everything stays within your environment.

Your own server or Swiss hosting: where does local AI run best?

Both are possible: your own server offers maximum control, while a dedicated server with a Swiss host saves on purchase costs and office space. On your own hardware, the data never leaves your building, and the model doesn’t even need an internet connection. In return, you bear the purchase cost and need a suitable location with enough cooling. With Swiss hosting, you rent the computing power, the data stays in Switzerland, and you can upgrade when needed. For large models in particular, this is often the cheaper option. Fox Computers calculates both options for your case.

How long does it take to set up local AI?

Setting up local AI at Fox Computers takes three to six weeks, from choosing the model to giving your team access. First, we clarify which tasks the AI should take on and which data it needs. That determines the model and hardware. Then we install the system, connect your documents and test with real everyday questions until the answers are right. If new hardware has to be bought, the schedule also depends on its delivery time. After launch, we fine-tune based on the questions your team actually asks.

Who takes care of updates and maintenance of the AI model?

If you wish, Fox Computers takes care of operation and updates: we keep the model, software and server up to date and monitor that everything runs reliably. New model versions come out all the time, and switching often brings noticeably better answers or more speed on the same hardware. We test such updates with your typical questions first before rolling them out. On top of that come security updates for the operating system and software, and adding new documents. We bill the effort at CHF 160 per hour or agree on fixed support in the quote. That way, your local AI stays up to date.
